How it works

Scoping

All our cloud migration projects are fully scoped by our technical account management team and then reviewed by our Technology Solutions Manager or Head of Technical Operations prior to being quoted to all clients.

Proposal

Once scoping is completed, the solution is presented to the client in a form of a written proposal with a client meeting and demo of the final solution.

Project Manager Assigned

Following agreement sign off, our Solutions Delivery Manager will review the project scope, assign a dedicated Project Manager and allocate resources across the business as required. All of this is then communicated back to the client via email, a project plan is delivered and a project handover meeting between all stakeholders is arranged to review, clarify and formalize the project.

Change Management

Change Management is completed by the Project Manager prior to commencement of any works, following ISO & ITIL standards.

Project Delivery

The project is then delivered on the pre-allocated dates to the client. Once the project is completed, our Project Manager provides a summary of the final project outcome to the client and to our Service Delivery Team internally.

Follow-Up & Feedback

Our Customer Success Manager will follow up with the client approximately 2 weeks post installation to review the project and gather feedback on the process and outcome.

Infrastructure Solution

With the organisation already invested in the Microsoft 365 platform for email hosting, our recommendation would be a full migration away from using Azure-based cloud servers and into Microsoft 365 for file sharing (via SharePoint & OneDrive) and device management (via Azure Active Directory & Intune).

Microsoft 365 is a powerful suite of services that will improve your efficiency and effectiveness across staff, volunteers and trustees. It offers a number of features that can be beneficial to charities, including file sharing and collaboration, document management, communication, security, and cost-effectiveness.

Document Sharing & Management

In migrating your files away from the current Azure servers, we will be working with you to ensure the correct level of access-based user permissions are in place, safeguarding your data and making sure users are only able to view and edit the files and folders they are permitted to.

We will configure org-owned devices to use Files On Demand, allowing files to be viewed in File Explorer and are automatically downloaded to your local machine when accessed, freeing up space on your device hard drive as well as being lean on your bandwidth.

Users will be able to share documents whilst benefitting from centrally controlled security policies for files, folders and email. We will configure these services to work seamlessly with all proposed replacement equipment and any new devices going forward. Our aim is to keep the user experience as simple and seamless.

Microsoft Licencing

Microsoft 365 licensing is extensive and thorough, therefore it may be useful to understand the two key licence types you’ll need as part of our recommended solution:

Third Party Microsoft 365 Data Backup

Microsoft 365 is a cloud storage solution and therefore isn’t inherently intended to be used as a backup solution for your data. For external backup of the shared data stored within Microsoft 365, we recommend using Datto cloud to cloud backup, which offers one year retention of your files and user data (including mailboxes & Teams data). Using this service allows deleted, corrupted or infected data to be recovered in minutes and restored directly to your Microsoft 365 tenant.

User ‘My Documents’/ Home File Storage

Each user will have access to their own Microsoft OneDrive 1TB of storage as well as the centralised Sharepoint. Our proposal will only be to migrate the shared storage areas, so any data stored in users Home or My Documents areas (or local to machines) should be uploaded to the shared area prior to migration, and then moved to their own OneDrive area post migration.
